Glad you came here, userjmem4g.
I can walk you through the steps of arranging the order of rows and columns of your reports in QuickBooks Online (QBO).
Here's how you do it:
- Choose a report from the Reports tab and open it. (In the screenshot, I run the Profit and Loss report).
- Click the Customize option.
- Scroll down to Rows/Columns. Under Select and reorder columns, check the boxes for the rows and columns you want to include in the report.
- Change the order of the rows/columns by hovering your mouse to one of them and dragging it up or down.
- Select Run report.
Here's an article made handy about modifying columns on the report: Customize and modify columns on reports.
I also have some additional articles about managing a wide range of reports in QBO:

Get back to me if you need help with something else. I'd be happy to assist. Enjoy the rest of the day!

this did not help at all
on my balance Sheet I have 4 checking accounts >> docks, picnic, POA, social
QB has them in alpha order and I want them differently - I just want to change the order of the rows, nothing else
same is true on my income statement >> I want to reorder my columns and also my rows
QB seems 'stuck' on an alpha approach

Thanks for getting back to us, @userjmem4g,
I can share some more information about the Balance Sheet report in QuickBooks Online. The default sorting of the accounts shown on the report is set alphabetically, which is what you're seeing.
The option to rearrange the order of the rows or columns is currently unavailable at the moment. However, you can do this by exporting the report into a worksheet to get the sorting you need. Just click the Export icon to transfer the information in Excel.
See this:

Your suggestion is also a good feedback we can share to our developers in the meantime. If you have any other questions about QuickBooks or need further help with this topic, feel free to connect with me again. Have a good one!

I am amazed that a "mature" product like QuickBooks has an online version that has so many shortcomings--ones that seem simple to fix and/or are fundamental to producing easily readable reports.
The case cited above, where users simply want to re-order rows in an income statement to something other than alpha. Exporting to Excel and fiddling with it there is not a serious alternative--at least, not much more than "print out the report in our fixed format, then re-type it yourself in whatever program you like."
Adding this functionality should really be a high priority.

I don't have the Select and reorder columns option. It goes from Show Grid to Show non-zero or active only to Period Comparison.
Please advise- thanks!

Nice to see you on this thread, @jsharpjla. I'm here to help you in running a report in QuickBooks Online (QBO).
To ensure we're on the same page, can you please verify the specific report which doesn't have the Select and reorder columns option? Since every report in QBO has its particular filters.
In the meantime, I'd like you to open your account in a private (incognito) window to isolate the issue. Using a safe browser and accessing the program from there can usually fix the problem.
Check out these keyboard shortcuts:
- Command + Shift + N (Safari)
- Ctrl+ Shift + N (Google Chrome)
- Ctrl + Shift + P (Mozilla Firefox)
Once done, open the report again. If it works, go back to your default browser and clear cache. See Clear cache and cookies to fix issues when using QuickBooks Online for more information.
Otherwise, switch to a different browser like Firefox, Google Chrome, or Safari. The one you are currently on may be having a temporary issue with QuickBooks, and using a new browser for the moment will allow you to get back to work.

I'll be keeping an eye out for your response as I want to ensure that you can run a report on your account. Wishing you well.

Thank you for getting back, @jsharpjla. Let me share with you some information about the Budget vs. Actual report.
The system allows you to change the order of the rows and columns for incompact reports such as Profit and Loss, Balance Sheet, and other report that allows you to add and remove columns from the small gear icon. The Budget vs. Actual report is a compact report wherein you can't customize and modify the columns. Thus, the Select and reorder columns option is not available for this report.
I'm adding these screenshots for your visual references.
For the tiime being, you may export your report to Excel so you can modify the order of its rows and columns.
Here's how:
- From the Report's page, tap on the export icon.
- Click on Export to Excel.
- Make the necessary modification from there.
You can check out this link for more tips about the process: Export your reports to Excel from QuickBooks Online.
Aside from exporting your reports, you can also save its settings for for future use. Here's how: Customize reports in QuickBooks Online.
Let me know if you have any other questions about the Budget vs. Actual report. I'm always here to provide additional assistance. Keep safe!

I also do not have the option to change the order of the columns in my reports. I have had it in the past, as my previous saved reports are in a different order. Attached is a screen shot of my Customize reports options.

Hello, vondie-vondieloz.
Thank you for posting in the Community. In QuickBooks, we're unable to change the order of the accounts on a budget.
I'll submit this feature request on your behalf to our product engineers so they'll consider adding this in the future. We take this as an opportunity for us to improve on how the program works.
For additional insight into customization, such as the different options available, I'm including an article that I recommend: Customize reports in QuickBooks Desktop for Mac.
Also, if you need help articles in the future, you can always visit our site: Help articles for QuickBooks Desktop for Mac.
I'll also be here if you need further help with your report. Have a great day. Stay safe!

Hello, Vondie.
I'd like to point out some details about changing the budget order in QuickBooks Mac.
Unlike the Chart of Accounts list, the budget isn't affected by the Re-sort list function. So, it will always use the default order, and we're unable to change how the accounts would be listed and ordered.
Although, you can change how you'd like to view the budgets data. Simply select an option from the View By drop-down menu in the budget edit screen.
Also, you can create a report from your budget (if you haven't done it yet) and customize it according to how you want the data to appear. We're unable to sort out the accounts though.
Check this article if you need a guide in managing your budgets: Create or update a budget in QuickBooks Desktop for Mac.
If you'd like to utilize the Reports feature to check your financials, you can follow the steps outlined in this article: Customize reports in QuickBooks Desktop for Mac.
Our Community Team is always around to help, so don't forget to visit here if you have more questions about managing your lists. If you need a hand in recording your transactions, let me know and I'll get back to you as soon as possible.

if I can't sort the budget list so it sorts the same as my chart of accounts I will be returning/asking for a refund for MAC quickbooks. I was told most people don't like it but wanted to give it a try. oh well.
Please work on adding that feature soon and I will check back and try again once it is added. thank you

100 percent agree most businesses want to organize revenue and want it in a particular order Example Product, Hourly service and maybe projects. All the other online accounting products do this with ease. There is one solution not the easiest one is to turn Accounting numbering

I found it - but it is only for reordering columns, not ROWS, which is what I thought the question was.
BTW, to find it, you have to click on change columns. Which is what one is not looking for when trying to reorder rows.,

Hello there.
Thanks for chiming in on this thread. I'd like to provide some insights about reordering rows/columns in QuickBooks Online (QBO).
If you're pulling up a report like Profit and Loss, you can click the Sort button and select one of the following options:
- Default
- Total in ascending order
- Total in Descending order
However, please keep in mind that some reports don't have this Sort button. That said, you'll want to export the report to Excel instead. This way, you can move and reorder individual rows in a report since that's unavailable within the program. Here's how you can export them:
- From the left navigation pane, select the Reports menu.
- Look for the report you want to pull up.
- Click the Export icon located at the top of the report. Then, select Export to Excel.
- Save the file to your device where you can easily locate it.
While this option is unavailable, you can send this request to our Product Development Team to help improve your experience. They can consider your recommendations and make the required corrections in future updates. Let me show you how:
- Go to the Gear icon, then select Feedback.
- Enter your comments or product suggestions.
- Then click the Next button to submit.
Additionally, you can modify your reports in QuickBooks to show the correct data for each company. I've attached the article you can use to make changes to the filters and other information: Customize reports in QuickBooks Online.
Please let me know if there is any other way I can help you use QuickBooks the way your firm needs it. I'm always around to provide answers and clarifications to your questions. Keep safe!

Just a thought - what about putting in account numbers so that it sorts by number. This would allow you to put the row anywhere you want it based on the number you give it.

Is this feature available yet? It is great that Quickbooks has the sheet sync feature but it does not help when I can't sort or reorder the accounts. Right now it is defaulted to be sorted by alphabet which is silly. Let me know what is my alternative other than exporting the report.
Thanks,

I have information regarding your follow-up of having the option to re-order the columns or accounts on a report in QuickBooks Online (QBO), Maria.
As of now, re-ordering its columns according to your preference is still unavailable in the application. I know how convenient this option is to be available in the product to help you assess and improve your experience.
However, I still recommend you send this suggestion to our product development team. This way, they can get notified of the features that business owners need. To do so, go to the Gear icon and select Feedback. Please take note, since they are working on this internally, please know that we cannot provide a turnaround time regarding their efforts.
In the meantime, you can export the report into an Excel file to manually alter the columns:
- From the left navigation pane, select the Reports menu.
- Look for the report you want to pull up.
- Click the Export icon located at the top of the report. Then, select Export to Excel.
- Save the file to your device where you can quickly locate it.
I’ll keep the thread open if you have more concerns about display preferences. I’ll make sure everything is being taken care of.

The fact that you can not reorder rows on a P&L or Balance Sheet is the dumbest thing ever. Fire the programmers and let the CPA run the show.
