Merchant Services deposits - reverse a dismissal
I dismissed a merchant services deposit that I should not have. There was a message saying I could reverse this in "settings" - but I can't find "settings" or how to fix this. Does anyone know the steps to undo this? I'm using QB Desktop Premier Edition 2019. Thanks!

Hey @Jan907
Thanks for asking your question in the QuickBooks Community! I’d be delighted to help you reverse this. To record the deposit:
- Go to the Banking menu and select Make Deposits.
- Click Payments.
- Choose the payments you want to deposit for that day, then select OK.
- Save & Close.
You’re all set! Let me know if you have any other questions or need help with anything else. I’m around!

Thanks, Monica! The payment in question doesn't show up on the list when I click "payments" - but the most recent payment on the list is from six days ago, and I've made several merchant services deposits since then, so perhaps I just need to wait a few days?
But I just want to be absolutely clear on what I did: Several payments from clients who are on our automatic billing service showed up on the list today when I clicked on "Make Merchant Services Deposits". I dismissed one that I should not have, and received a message saying I could undo this under "settings". So - presumably in a few days I can follow the instructions you gave, that payment will still be listed, and I can 'receive' it at that time? Also, I need to be able to apply it to the correct customer account (changes in the ownership of the account are what led to this little fiasco). Will I be able to do that?
THANK YOU!

Hi @Jan907
Let’s try the steps below to locate that dismissed transaction.
- Go to the Banking menu and select Record Merchant Service Deposits.
- Select Change your deposit settings. (Lower left)
- Show dismissed payments from▼ drop-down.
If the name of the customer has changed and you can’t match it to the correct customer because of the change, then you’ll need to manually record the payment.
Let me know if you need help with that. I got you!

The steps listed do not match whats inside WB or merchant services accounts. On step 2 the is a "deposit settings" but not what you listed, if I click on settings there is nothing about showing dismissed payments.

Hello, dajohnso.
Thank you for getting back to us. Since it's not showing the dismissed payments under the deposit settings, I have an alternative way to locate them. You can generate a Transaction Journal report, which provides a detailed list of all transactions in your account, including dismissed payments. Once you have the report, you can filter and search through the transactions to find the dismissed payment you are looking for. This should save you time and effort in finding the dismissed payment.
Here's how:
- Choose the transaction toolbar and select Reports, then choose Transaction Journal.
- The Transaction Journal report shows debits and credits for each transaction and provides a more focused view of amounts and accounts not visible from the transaction itself.
- Locate the dismissed transaction. To quickly find dismissed transactions, use the browser search (Ctrl + F) and type "dismissed."
- Select View under the History column to see all the information needed for the transaction under the Event column.
- Using the information from the Audit log, you can re-enter the transaction with its original transaction date.
It's important to note that once a transaction is deleted, it cannot be restored. However, you can use the Audit Log to recover the details of the deleted transaction so you can re-enter it.
Here's an article for more details about the Transaction Journal Report: View the Transaction Journal report in QuickBooks Desktop.
Additionally, you can use this article as a guide on managing the chargeback in QuickBooks Payments: Handle chargebacks and retrieval requests for QuickBooks Payments.
Let me know if you need further assistance generating the Transaction Journal report. I'm always here to help you. Have a great day, and Stay safe.
