Various questions about Quickbooks Enterprise
Hello! The companies I am working with is considering shifting from QB Online to QB Enterprise. With this in mind, I have the following questions:
1) How elaborate is QB Enterprise's User Access Feature? Say we have a sales team, can we allow them to ONLY make estimates and invoices but NOT EDIT? Can the management also restrict their access to financial statements?
2) How can we transfer our files from QB Online to QB Enterprise? What data can we transfer seamlessly and what data in QB Online that cannot be transferred?
3) I am currently working for 2 companies, both of which are using QB. If we were to buy the licenese key for QB Enterprise, can both companies use them or only 1 license key will work for one company?
4) In QB Online, only the sales invoice and the estimate can be customized via importing a style from MS Word. Can QB Enterprise do this as well? If so, can it also import custom styles for sales receipt? In QB Online, it doesn't have that feature.
EDIT:
5) Is there a way I can have a demo of the QB Enterprise using my company?
6) It says one of the features of QB Enterprise is that it can accomodate 5 users at a time. I will be available the 15-user package. Does that mean this version can accomodate 15 users in real time?
TIA!

I'd be glad to answer your questions about moving to the Enterprise version, Skellytonne.
For the first question, user permissions in QuickBooks Enterprise are a lot more elaborate than QBO. There's an option to allow the user to create transactions but not edit them. You can also restrict the users to view the company's financial data. You can take a look at these articles for more details:
- Create Data Level Permissions in QuickBooks Desktop Enterprise
- Create and Manage Roles in QuickBooks Desktop Enterprise
Second, you can also transfer your file from QBO to Enterprise. Let me give you these articles for more details about this:
- Export and Convert Your QuickBooks Online Data to QuickBooks Desktop
- Limitations When You Convert from QuickBooks Online to QuickBooks Desktop
Third, you can add as many companies or company files in QuickBooks Desktop. Use this article as a guide: Create a QuickBooks Desktop Company File.
Fourth, sales forms and other transactions (invoices, estimates, credit memos, sales receipts, statements, payment receipts, bill payment, sales order, and build assembly) can be customized in QuickBooks Enterprise. You can also import your own template using MS Word. Check out this article that talks about this function: Use and Customize Form Templates.
Fifth, you can download the trial license and import your QBO account. This way you can try how the program works. Here's the link: Download a Trial of QuickBooks Desktop Enterprise.
Lastly, QuickBooks Desktop Enterprise is available in 1-10 user, and up-to-40 user licenses. Let me share this link for more details: https://quickbooks.intuit.com/desktop/enterprise/resources/faq/.

Do you offer the bookkeeping service for both companies or every company will manage their own file?

It's the latter - there are employees within our company who handle the reports of their respective companies, but sometimes we seek out help of a third party accountant if ever we need advise from an expert.

You can only purchase and use one subscription license to manage multi-company files internally. Is your company located in the US? You can also set up a private cloud solution to allow remote users/external accountants to access your data over the internet.

You can still own and open the company file later on another QB Desktop Enterprise with the same year version.

Tha'ts great to hear. No, our companies are based in South East Asia. All of our employees are on-site and the tendency for us to ask for help outside office is seldom.
I plan to get the 2021 version of Enterprise. Will I still be able to avail of the private cloud feature?

They only offer QB Desktop 2022 Enterprise now. For your case, I would recommend to purchase QB Desktop 2021 or 2022 Accountant edition for 10 users with the one time license. You are allowed to install licenses for up to 10 machines but one company file can only be accessed by up to 5 users.

We are planning to get the QB Enterprise 2021 15 users version. To clarify, if I were to use this for two companies, does that mean that the user count would be halved? For example, if the employees work for both companies, it will no longer be halved?

They offer a single rate for QB Desktop Enterprise 11-30 users. They no longer offer QB Desktop 2021 Enterprise. You can install and run a single license of QB Desktop 2022 Enterprise in a single environment to manage multi company files. If you are not in the US, you can purchase a subscription through a partner without a credit card if needed.

Thanks to the previous posters, I am now aware that QB Enterprise can have multiple companies within a single license. My question is whether the user count will be affected if you have multiple companies. Say for example, you bought a 15-user license and I have two companies. Can these two companies have 15 USERS EACH, or will the user count for the two be 15 USERS TOTAL?

Hello there, Skellytonne.
I'd be glad to answer your questions about the Enterprise version. Each license will have up to 15 users each. There are varied options that allow you to add a user such as allowing them to create transactions but not edit them. You can also restrict the users to view the company's financial data. Hello. I am now using a QB Enterprise 2021 Trial. I tried to follow the instructrions for importing data from QBO to QBE using the video provided.
In the video, I should have arrived in this kind of landing page when I type this link: (https://app.qbo.intuit.com/app/exportqbodatatoqbdt)
Instead when I typed the exact same URL to my company, this is what I get instead:

We're using the QBO Global Version at $34 USD a month but I am unsure as to how is this related to me wanting to migrate my QBO data to QBE 2021.

The tool provided by Intuit only converts data from QBO US version to QBD US version. You may have 2 ways:
1. Utilize a migration tool. i.e TPExporter for Online, TPImporter for Desktop
https://transactionpro.grsm.io/qbo
2. Purchase a 3rd party service to migrate data from QBO Global version to QBO US version.

Thank you for using QuickBooks, @nadia. I'll walk you through generating reports and share some tutorials to guide you further.
You can develop and modify funding, plan, and prediction scenarios using Enterprise's budgeting and forecasting tools. More than 200 built-in reports are available, including 70 that are industry-specific. These data can be customized to meet your company's needs.
I'd like to know what report you need. Which area are you having difficulty with?
Can you share what expression you're referring to? Is it the amount, description, equation, or anything else? Know that any additional data is appreciated.
Feel free to check out these links to learn how to manage reports:
Come back to this post if you have other concerns or follow-up questions about running reports. I'll be around to provide further assistance. Stay safe.

US version? Yes for sure. If your company is located in Uganda, why do you have to use Enterprise Accountant?
