Emailing Invoices

I have multiple companies I do bookkeeping for with my QB desktop. Recently I'm having issues emailing from QB for only 1 of those companies. I am able to use the same program to email for the other companies and my partner can email invoices for this company with his computer. Has anyone ever had a similar issue and if so, how did you fix it?

In the meantime, please check if you've set up the correct email for that company. Also, ensure that your QuickBooks Desktop (QBDT) is up-to-date because using outdated products can cause errors like this.

 

If everything looks good, I suggest performing the Verify and Rebuild to find and repair any data problems that may have caused this error. Doing this will also help us ensure that your QBDT data is error-free and reliable.

I am having problems. Emailing an invoice when I click the send button a window opens saying I need to be signed in. I sign in, but it doesn’t actually sign me in. It throws another error saying that it is unable to send the email because I am signed out of QuickBooks, I have tried updating the program. However there is no more updates for this version. I have cleared the cash cookies and I have verified data to make sure there is no fixes that need to be done. What am I doing wrong

I called and talked to tech support. They are telling me the only way to email Invoices is to pay a subscription and get an updated version and I refuse to do that. I purchased desktop specifically to keep from paying a subscription as I’m a small business and it’s not financially smart for me to do that. Is she right? That’s my only option?

@Darley B  Well, you do have the option to save the invoice as a PDF and e-mail the customer directly. This can be done either by choosing the Save as PDF option under the Print button, or the Print to PDF option on your printer list.

 

It's an extra step, sure, but far cheaper than upgrading to a new version. Besides, even if you did upgrade, it'd still fuss about e-mailing once you get past four or so company files tied to your e-mail. You'd have to take time out to reconnect company files to the e-mail account.

 

I would strongly advise against upgrading to QBO, though; this community is littered with complaints about their new invoice and e-mail templates, (poorly) AI-generated subject lines, and various add-ons.

When I select to email an invoice, more often than not Quickbooks gives me an error something along the lines of 'unable to open Outlook'. Once I close QB and reopen it I am able to send the invoice. Go to the next invoice to send, the same thing. So I'm having to close and reopen QB with almost every invoice I email.

If this is the error you’re encountering, we can perform these troubleshooting steps to help resolve the error when emailing invoices to Outlook:

 

First, ensure that QuickBooks isn't set to Run as an Administrator automatically. Here's how:

 

  1. Close QuickBooks Desktop.
  2. Right-click the QuickBooks icon, and select Open file location.
  3. In the folder, right-click the QuickBooks.exe file and select Properties.
  4. Go to the Compatibility tab.
  5. Uncheck the Run this program as Administrator option. If the option is grayed out, select Show Settings for All Users. This makes the option available.
  6. Click Apply and OK.
  7. Restart QuickBooks and send the email again.

 

You can also edit your email preferences in your QuickBooks Desktop.

Here's how to do it:

 

  1. In QuickBooks, select Edit and then Preferences. If you use Microsoft Outlook with Microsoft Exchange Server, open and sign in to Outlook before you move on.
  2. Select Send Forms. Then go to My Preferences.
  3. Choose Outlook as your email option and then OK.

 

Send a sample email from QuickBooks. If you still see an error, toggle your preferences.

  1. Click the Edit menu and then Preferences.
  2. Select Send Forms. Then go to the My Preferences tab.
  3. Choose QuickBooks E-mail or Webmail, and then OK. This toggles your preference off.
  4. Repeat the steps. Go back to the My Preferences tab and select Outlook. Then select OK.
  5. Close QuickBooks and all other open programs.
  6. Restart your computer.

Yes that is the error. I already done options 2 & 3. When I try to do option 1 this what shows up in my properties...no Compatibility tab.

The reason you're not seeing the Compatibility tab is because the file you were trying to modify is a QuickBooks company file (.qbw), not the program file itself.

 

For your privacy and security, we’ve removed the screenshot you provided. Please know that .qbw is a file type designed to store your business records, transactions, and financial information. While it plays a critical role in managing your finances, it does not operate as an executable file (QuickBooks.exe), which is responsible for running the software.

 

To access the Compatibility tab and make adjustments, let's locate the QuickBooks program file (QuickBooks.exe).

 

  1. In your File Explorer, enter QuickBooks in the search bar.
  2. Look for the program that is indicated by C:\ProgramData, and right-click on it.
  3. Select Properties, then go to the Compatibility tab.

Once you access this tab, continue to uncheck the Run this program as an administrator option. If the issue persists, proceed to steps four and five from this article: Repair your MAPI32.dll.

 

Also, skip re-entering contact information. QuickBooks allows you to sync and match your Outlook contacts with customers, jobs, vendors, and other entities in the program.
