Can you remove Billable expenses quickly without going into each customer?

I have a client who had historical Billable expenses that I need to clear out. Is there a quick way to do this?

Can you remove Billable expenses quickly without going into each customer?

I completely understand how time-consuming it can be to go through historical billable expenses one by one, especially if there are a lot of them, @beckie4. While QuickBooks Online (QBO) doesn’t currently offer a bulk removal feature to clear out billable expenses tied to customers, I can share some tips to help streamline the process as much as possible.

 

The closest option would be to pull up the Unbilled Charges report filtered to Billable Expense Charge. You can click on each charge, open the expense transaction, and untick the billable expense checkbox using this report.

 

Although this is still a manual process, the report can help navigate you back to the only expense charges you want to remove, since you will be brought back to the report. Here's how:

 

  1. Go to the Reports page. 
  2. In the search field, enter Unbilled charges and select the report.
  3. Click on the Filter tab, and perform these filters from the dropdown option: 
    • Transaction type, equals, Billable Expense Charge
  4. If you need to further filter it to a single, click on + Add condition, and then:
    • Client, equals, Select your client's name
  5. Click on each billable expense charge, and select Expense at the top portion.
  6. Untick the Billable checkbox for each line item, and then hit Save and close.
  7. Close the succeeding windows until you're routed back to the report. 
  8. Repeat Steps 5-7.

 

You can also choose to save this report for future use.
