Welcome back to our Top Five! Housekeeping items in QuickBooks are essential to managing the day-to-day tasks that come with running a business, so we are rounding up our most asked questions regarding your account. Here’s what the Community has been asking:

1. How do I share custom reports with other users on my account?

Sharing custom reports in QuickBooks is a great way to keep important stakeholders in the loop. There are two ways to do this. If you've saved your customized report, you'll want to go to the Custom reports tab. Here's how:

  1. Go to the Reports tab.
  2. Click the Custom reports tab.
  3. Hi the Edit link for the custom report you want to share.
  4. Choose a specific name from the drop-down.
  5. Click Save and close.

Another way is to use the Save customization button. Simply open a specific report, then click on the Save customization button. You'll see the Share with drop-down menu again.

2. How can I remove a company from my profile that was created in error?

If your account is less than 60 days old, you can delete your QuickBooks Online company file and start over. Note: this option is only available for QuickBooks Online Plus and Essentials versions. 

Here’s what you’ll do:

  1. Log in to your QuickBooks Online account.
  2. Change the URL to include /purgecompany. (Example: URL shows https://qbo.intuit.com/c28/app/homepage, change to: https://qbo.intuit.com/c28/app/purgecompany.)
  3. The next screen will provide a summary of the items to be deleted.
  4. Type the word YES once the data gets deleted, then click OK.
  5. Click Wipe Data once your selections are complete.
  6. Once the deletion is complete, you will be rerouted to your home page.

If the account is more than 90 days already, you'll need to cancel it and start a new subscription. 

  1. Open a web browser on your computer, not a mobile device.
  2. Sign in to QuickBooks Online as an admin user.
  3. Select the Gear icon and then Account and settings.Screen Shot 2022-05-20 at 8.48.48 AM.png
  4. Go to the Billing & Subscription tab. Note: if you don't see the Billing and Subscription tab, then you bought QuickBooks through a mobile app store. See the steps for your device below.
  5. In the QuickBooks section, select Cancel subscription or Cancel online. If you're cancelling a trial, select Cancel trial.
  6. Follow the onscreen steps.

3. How can I invite my accountant?

Great news! Inviting an accountant is free in QuickBooks Online. You can add up to two accountants in Simple Start, Essentials, and Plus plans. Meanwhile, three accountants can be added in our Advanced plan. 

Here's how to invite an accountant to access your account:

  1. Click the Gear icon in the upper-right corner and select Manage Users.
  2. Go to the Accounting firms tab.

They'll receive an email invitation with instructions on how to accept it. And the best part, they won't pay any charges after accepting the invitation to help manage your books.

4. How can I export all data to excel without an export option?

 In QuickBooks Online, you can export your reports into Excel in just a few steps. You’ll want to make sure to filter the date period to cover year-to-date transactions. Here’s how: 

  1. Go to the Gear icon.

  3. On the Reports tab, set the date range to year-to-date.
  4. Add items from the Reports/Lists tabs by toggling the slider.

5. How do I find my company number?

We’ll have to go to the Billing & Subscription area of your account to get the company number. Let me walk you through those steps:

  1. Tap the Gear icon in the upper right to choose Account and settings under Your Company.Screen Shot 2022-05-20 at 9.04.38 AM.png
  2. Click the Billing & Subscription menu to see more information.
