Hi there, adrian_clifton22,

This happens when the auto-recall feature is turned on in QuickBooks Online (QBO). This will pre-fill transactions from the last saved entry of that specific customer, vendor, or employee.

You can turn off the automatic fill so you can enter the information you want on the transaction. Let me show you how:

  1. Go to Settings , then select Account and Settings.

  2. Proceed to the Advanced tab.
  3. Click the Automation section to expand it.
  4. Uncheck the Pre-fill forms with previously entered content to enable auto-recall box.

  5. Click Save, then Done to record your changes.

Feel free to read through this article: How to use auto-recall to pre-fill transactions. It will provide more details about the auto-recall in QBO.

Should you need anything else, please let me know. I'm always around to help you out.
