Please be aware that the Accountant ToolBox feature is only available on QBDT Premier Accountant and Enterprise. You can consider purchasing a license for QuickBooks Desktop Premier for Accountant or QuickBooks Desktop Enterprise so you can proceed to add an external accountant and utilize the feature.

If you've chosen to upgrade to any of those products that I've mentioned, you'll then want to set up an external accountant. Please know that your accountant should have a ProAdvisor subscription to use the Accounting ToolBox feature. I'll input the steps below so you can proceed.

For Pro or Premier users, here's how:

1. Select Company, Set Up Users and Password, and then Set up Users.
2. Select Add User. Fill out the User Name, Password, Confirm Password, and then select Next.
3. Select External Accountant and then select Next.
4. Select Yes to give access to your new user and then Finish.

For QuickBooks Enterprise users, these are the steps:

1. Select Company, Users and then select Users and Roles.
2. Enter your Admin Password and then select OK.
3. From the User List, select New.
4. Enter a User ID and an optional Password.
5. From Available Roles, select the External Accountant role, and then select Add.
6. Enter the user’s email address, then select OK.
7. From the confirmation window, select OK.
