Allow me step in and share some insights about printing prior W-2s in QuickBooks.
The steps provided by my peer @AlcaeusF should allow you to access old forms you have filed in QuickBooks. If you're unable to do so, you can print your employee's W-2 information in the updated version of the form. Let me walk you through the steps:
- Go to the Employees menu.
- Select Payroll Tax Forms & W-2s.
- Choose Process Payroll Forms.
- Double-click Annual Form W-2/W-3 - Wage and Tax Statement/Transmittal.
- In the Select Filing Method field, enter 2015.
- Click OK.
- Mark the employee you'd like to print the form for.
- Click the Review/Edit menu.
- Select the Check for Errors button.
- Make sure to resolve all errors on the form.
- Click Print for Your Records.
- Select the forms to print.
- Click Print PDF.
Before printing, please be reminded that the version of the form has been updated to 2018 and is not valid for filing. However, if your employee still needs to file the form, you can manually fill out an IRS W-2 form from the IRS website then have it printed for him.
