Before printing W-2 data on preprinted forms, I'd recommend running a print test on a blank sheet of paper to confirm if your alignment is accurate with the boxes on your form.
 

Here's how:

  1. In the left navigation bar, go to Employees.
  2. Click Payroll Tax Forms, then W-2s and Process Payroll Forms.
  3. Hit File Forms and choose the Annual Form W-2/2-3 - Wage and Tax Statement/Transmittal.
  4. Use your Create Form button, then pick either All Employees or Employee's Last Name.
  5. Enter a filing period in the Year field and press OK.
  6. Click Print/E-file.
  7. In your Print W-2 and W-3 Forms window, hit Print Test.


If the text aligns properly with its appropriate boxes, you can now print your form using the preprinted forms. If it doesn't align, you can adjust its alignment:

  1. On your Print W-2 and W-3 Forms screen, choose Align, then adjust its alignment as necessary.
  2. When you're finished making the adjustments, press Print Test to check if it's aligned with your forms. If everything looks accurate, select OK.
