You can utilize a different name for your backup and restore it to the newer versions of QuickBooks Desktop. Let me elaborate further below.

 

Changing the name of your company file makes it easier to distinguish between the existing company file and the backup. This means that having unique company names does not impact the restoration process. That said, you can restore the backup company file from 2019 using the same version or a higher one (2020-2024).

 

Additionally, QuickBooks doesn't automatically back up your payroll forms. What you can do is print copies and save them to your hard drive. For QuickBooks Enhanced Payroll users, you can save them as PDFs.

 

Moreover, send the folder containing your saved payroll forms to your accountant if there's a need to edit the payroll tax forms you have started. Follow the steps below:

 

  1. Open the Windows Start menu.
  2. Search for and open File Explorer.
  3. Browse your computer for this folder: [your company name] Tax Forms. This folder has all of your payroll data.
  4. Save the entire folder and send it to your accountant. You'll also need to send them your backup company file.
  5. Your accountant needs to put the Tax Forms folder in the same folder as your company file after they restore it.
  6. When they're done reviewing, ask them to copy and send the Tax Forms folder back to you. Follow the same steps on your computer to open up the updated forms.
