Tracking mileage is still exclusive to Master admin users, Mendezmc. However, standard users can upload receipts using their own access. Let me provide the steps so you can share them with your drivers.

Before uploading the receipts, please remind them to keep the following points in mind:

  • Avoid uploading receipts or bills with sensitive or personal info, like credit card numbers.
  • QBO accepts image formats including PDF, JPEG, JPG, GIF, and PNG. If you have HEIC images from a newer iPhone or iPad, you can convert HEIC images to a compatible format.
  • The feature only supports local or home currency. Different currencies are currently unssuported.

Since drivers are always on the move, they can either upload transactions using the QBO mobile app or email them to QuickBooks Online.

Here are the steps on how to upload receipts using the mobile app:

  1. Install the QuickBooks Online app for iOS or Android.
  2. Go to the Menu ≡ icon.
  3. Choose Receipt snap.
  4. Tap Receipt camera and snap a photo of the receipt.
  5. Select Use this photo, then choose Done.

Please share this article with them to provide more details about this feature: Upload your receipts and bills to QuickBooks Online.

After the transactions are successfully uploaded, you can use the Receipts tab in the Banking menu to review or add missing details. You can use the steps in this article as a reference: Categorize online bank transactions in QuickBooks Online.

With regard to tracking mileage, I'd recommend sending another feedback or feature request to our engineers. Let me share this article as a guide: Give feedback on QuickBooks products and services.

Just in case you need more references about managing receipts, allow me to share this article as well: Should I keep my receipts in QuickBooks?

Remember, the Community is always available if you have follow-up or new questions when managing users and tracking expenses. We're committed to providing support whenever you require it.
