You've come to the right place, @controllerplusma.

You can set your user access as View Only and modify their role to only view reports. This way, they can't make any changes to the report. Let me guide you through the steps in your QuickBooks Desktop (QBDT) software.

Here's how:

  1. Go to the Company menu and select Users.
  2. Click Set Up Users and Roles.
  3. Go to the Roles List tab and select New to add a new role.
  4. Enter a role name.
  5. From the ROLE ACCESS section, select Reports under the Area and Activities column.
  6. Select Partial and View from the Area Access Level column.
  7. Click OK1.JPG

Once done:

  1. Go to the User List.
  2. Select New to add a new user.
  3. Enter the user name.
  4. Select the Role you've created from the above steps.
  5. Click Add to add the role to the user Assigned Roles.
  6. Simply click OK when done. 2.JPG

I'm adding this great article that provides complete details on how to set up and manage your user's roles in QBDT: Create and manage roles in QuickBooks Desktop Enterprise.

Also, you can always check our Help articles page for future reference in managing your QBDT software effectively.

You can always tag me in if you have other concerns or questions. I'll be around to back you up. Keep safe and stay healthy.
