In QuickBooks Online Plus, we can record and track billable expenses so your customer can reimburse them when they receive their invoice. To automatically make items billable, we'll need to turn on the Make expenses and items billable option on the Account and Settings page. Here's how to turn on billable expense tracking:
- Go to the Gear icon on the top menu.
- select Account and settings.
- Go to the Expenses tab.
- From the Bills and expenses section, select Edit ✎.
- Turn on the following:
- Show Items table on expense and purchase forms
- Track expenses and items by customer.
- Make expenses and items billable.
- Set up the following:
- Markup rate
- Billable expense tracking
- Sales tax charge
- Bill payment terms.
- Press Save.

In QuickBooks Desktop, you’ll want to set up all-time entries as billable. This way, it’ll automatically mark the transactions as billable. Let me show you how:
- Go to the Edit menu.
- Select Preferences.
- Choose Time & Expenses on the left-side panel.
- Click the Company Preferences tab.
- Put a check-mark on the Mark all time entries as billable and Mark all expenses as billable box.
- Then click OK once done.
