How to downgrade the plan?
Hello
Our organization is using QuickBooks Online with the Online Essentials plan. However, we couldn’t import data from our 2016 Desktop Pro version into QuickBooks Online Essentials. As a workaround, we directly upgraded from the 2016 Desktop Pro application to QuickBooks Online, but our plan became QuickBooks Online Advanced instead of Essentials. We’re currently testing the trial version at Advance plan and want to downgrade our plan. Could you please guide us on how to do that?

I’m here to help clarify the process of downgrading your subscription and provide an alternative method to transfer your data to your QuickBooks Online (QBO) Essentials subscription, sulaekhaing.
The option to downgrade a trial account is currently unavailable. You can only perform the task after switching to a paid subscription. Keep in mind that you could lose key features, including your inventory items and recurring transactions.
Here’s an article that provides an in-depth look at what happens when you change your QBO plan: Upgrade or downgrade your QuickBooks Online edition.
Alternatively, you can utilize a backup copy of your QuickBooks Desktop (QBDT) Pro 2016 company file and restore it to the trial version. Then, import the data into your Essentials account. Please note that you can only move a company file within 60 days of signing up to your online account.
If your Essentials account has exceeded 60 days, let's export your QBO Advanced data to the previous version by following these steps:
- Go to the Gear icon and select Export Data.
- Set the date range on the Reports tab.
- Toggle the slider to add or remove items from the Reports and Lists tabs.
- Click the Export to Excel button.
Now that we've exported your lists and items, let's proceed and bring the information to your QBO Essentials account. Here's how:
- In your company (Essentials), navigate to the Gear icon and select Import Data.
- On the What do you want to import? screen, click the drop-down, and select the type of transaction or list you're trying to import.
- Click the Import button and follow the onscreen instructions to complete the process.
Perform the same steps for the remaining transactions or items you wish to bring into the correct account. On the other hand, utilize an importer tool to speed up the import process. You can visit the QuickBooks Apps Center to find one that best fits your business needs.
