How can I send batch invoices in Desktop for an email template that is NOT the default?
Is this even possible? I have our basic invoice email template as the default, but I also have a template for paid invoices for the customers that keep a card on file, a past due template and a card declined template. As I'm invoicing, I have to stop and send each one that's paid immediately instead of having the option to send them as a batch. It's time consuming and I'm hoping there's a workaround. Hi there, Windy. It seems like you're referring to having different invoice message templates. When you mention a different invoice template, you will still be able to use the batch email function to send invoices to multiple customers with a unique email message template.
Here's how:
- Go to Edit.
- Proceed to Preferences.
- Next, select Send Forms.
- Followed by choosing Company Preferences.
- Click on Add Template (input different email message templates for customers who have a card on file, a past due template, and a card declined template).
To batch send the invoices to different customers, you'll have to open each invoice first and place a checkmark for Email later.
Here's how:
- Click on the File option.
- Next, proceed to Send Forms (make sure that the option to combine forms in a single email is not selected).
- Select each invoice individually to update the email message template to your chosen one.
- Check other details for accuracy.
- Click on Send Now.

This works, thank you. To simplify it for anyone else looking, the issue is just in the combine forms in single email check box. Once that's not selected, the option to change the email template pops up.
