A negative balance on your customers indicates that you owe an amount to them. You can clear the balance by creating a refund, which depends on various scenarios.
To begin with, let's enter a credit memo to create a refund if the customers have already paid their invoices. Here's how:
- Click on the +New button, then Credit memo.
- Choose the appropriate customer in the Customer field.
- Fill in the Date, Amount, Tax, and Product/Service.
- Select Save and close.
After that, proceed to these steps to process the refund:
- Click + New, then Expense.
- Choose the appropriate customer in the Payee field and the bank the money is being refunded in the Payment account field.
- Pick the Debtors account (Accounts receivable) in the Category field, then enter the amount in the Amount field.
- Select the appropriate tax in the Tax field and click Save.
- After that, head to the +New button, then Receive payment.
- Provide the Customer and Payment method and the account in the Deposit to field.
- Ensure to have a 0 amount as it will cancel out each other, then Save and close.
