Hello there, Killian. I have two options for you to consider for recording or matching your transactions in QuickBooks Online.
Yes, it will create duplicate fees. These fees won't match the imported transaction because it involves an outgoing payment that doesn't align with an invoice, which is incoming funds.
The first option is to create a receive payment and deposit the funds into the Undeposited Funds account. Doing this can help you link the invoice with the fee after excluding the bank transaction.
- Click + New and click Receive payment.
- Enter payment details and select the checkbox next to the invoice you want the payment to be applied.
- Choose Undeposited funds from Deposit to dropdown.
- Tap Save and close to record the transaction.
- Select + New and then Bank deposit
- You should see the payment you entered in the Select the payments included in this deposit section.
- Put a check to select the payment you want to deposit.
- Add the bank service fee as a negative amount under Add funds to this deposit.
- Choose the appropriate Expense account for tracking bank fees.
- Verify that the deposit amount is correct and click Save and close.
Alternatively, you can delete the fee transaction already recorded in QuickBooks and match the bank transaction to the invoice using the Resolve difference feature. Here's how:
- Click the Settings/Gear icon and then select Chart of accounts.
- Find the bank in question and then click Account history.
- Find the transaction and click it, then tap Delete and hit Yes to confirm.
- From the Transactions menu, go to Bank transactions.
- Select an entry in the For review tab and click the Match radio button.
- Choose the Invoice box and then hit the Resolve Difference switch.
- Select the category, enter the fee amount, and hit Match.
