Manage Your Account

Good day, Rsfarmdargle.

All account numbers starting with digit 1 will be placed together as first, while all numbers that begin with 3 will be put in third just like you experienced.

This is how QuickBooks works when you sort Chart of accounts (COA) via numbers. I can guide you on how to utilize it correctly when sorting COA into account numbers.

We can follow the recommendations that are based on the Generally Accepted Accounting Principles (GAAP) in sorting your (COA) via numbers to clear things up.

First off, you can start with your Asset accounts. Start their number from 10000. Then, Liabilities from 20000. This will sort your account into correct numbers and accounts. Here's how:

  1. From the Settings, choose Chart of accounts.
  2. Pick Batch edit above the Action column.
  3. Add account numbers in the Number column.
  4. Once done, select Save

Take note that allocating the same number to more than one account isn't possible. Feel free to read this article for more info: Use account numbers in your chart of accounts in QuickBooks Online.

You might want to create subaccounts to break down some of your expenses, income, and other account types. Check out this article: Create subaccounts in your chart of accounts in QuickBooks Online.
