Employees and payroll

Thanks for getting involved with this thread, Lori B.

If you're trying to export data from QuickBooks Desktop into QuickBooks Online, there's a few important things you'll want to check beforehand and be aware of:

  • QuickBooks Desktop needs to be up-to-date with its latest release.
  • You have up to 60 days from the day you create your QuickBooks Online account to move the data.
  • Your company file can't exceed a Total Target limit of 750,000 or higher.

You can find your current version and release by pressing F2 (or Ctrl + 1 simultaneously) to open the Product Information window. Intuit recommends having one of the following versions and releases (or higher) for greater success with exporting data into QuickBooks Online:

  • 2019 - R17
  • 2020 - R15
  • 2021 - R10
  • 2022 - R5

In the event it needs to be updated:

  1. In your top menu bar, go to Help, then Update QuickBooks Desktop.
  2. Click Update Now, then Get Updates.
  3. When it's finished, close and reopen QuickBooks.
  4. Select Yes to install the update.
  5. Once it's completed, restart your computer.

Since you're working with a QuickBooks Desktop Payroll subscription as well, also be sure to confirm you're using Intuit's latest payroll tax table.

To make sure your company file's Total Targets are less than 750,000, press the keyboard keys Ctrl + 1 simultaneously. If your file exceeds the target limit (750,000), data from it can't be converted to QuickBooks Online. The only option in this case would be to import lists and balances into QuickBooks Online, or start fresh.

In the event you're using QuickBooks Desktop 2018 or older, you'll need to utilize our QuickBooks Desktop file restoration tool to upgrade your file. Afterwards, you can move data into QuickBooks Online.

If you meet all of the requirements for moving data from QuickBooks Desktop to QuickBooks Online, but are still encountering a "Error while exporting transactions. Please try again later." message, I'd recommend initially troubleshooting with your Verify Data utility.

In the event you continue seeing this message each time you try moving data, you can also troubleshoot with Intuit's QuickBooks Tool Hub utility.

If you continue encountering the message after confirming you meet each of our requirements for moving data to QuickBooks Online and have completed the troubleshooting steps mentioned above, you'll want to get in touch with our Customer Care team. They'll be able to pull up the account(s) in a secure environment, conduct further research with you, and create an investigation ticket if necessary.

I've also included a detailed resource about moving data which may come in handy moving forward: Move your QuickBooks Desktop file to QuickBooks Online

I'll be here to help if there's any additional questions. Have a great Tuesday!
