I ALWAYS make a pdf copy (outside of QB) of all W2s when they are created and so I never need to go back into QB to a get copy, I recommend you do this going forward. 

 

In the Folder where you store the QB company file you should see a sub-folder named "Company File Name Tax Form History" in this folder are more subfolders for the various tax forms that were created in QB...when you saved the form in QB when created, then those forms will be in those subfolders. So locate the sub-folder named "W2INTRV1", you should find the file for the w2s.

 

I ALSO COPY the entire folder "Company File Name Tax Form History" for each client and place it outside of any QB folders after all year end forms are completed.  I cannot tell how often over the 20+ years this has saved myself/client a lot of brain damage.  MANY QB users do not realize that you cannot always go in QB and re-do/print prior years/quarters tax forms.

 

KEEP in mind when you move the company file/trade back and forth with accountant/tax preparer you "may" not have all those PDFs if they were created on a different machine or store in a different location on the same machine.  So when I do tax forms for a client on my machine their machine will not a those PDFs...but I can copy them/move to the client machine in a remote session if needed.
