Using Location tracking for Payroll in QBO
I have figured out how to use class tracking for payroll - where I can assign various employees and their payroll amounts to different classes.
But how do you assign different employees to different locations? (I am talking about the class and Location tracking feature, not physical address work locations )
Or, is there a way to link a class to a location...so that I can assign the employees to a class...and thereby also assign their payroll amounts to a specific location?

The option to use the Location tracking feature for payroll and link them to your classes is unavailable. Once you assign a class to each employee in the payroll settings, payroll will automatically be categorized. You can run reports by class so you can keep track of your payroll expense and such.

So to clarify - there is no way to use the location tracking feature with payroll, with multiple locations? All payroll expenses will automatically go to the default location ?

The location tracking does not apply to payroll transactions, bkehl.
However, you can add the location details in the paycheck's memo field. Then, run a report and customize it to add a Memo column.
- Open the paycheck and go to the bottom section.
- In the paycheck's Memo field, enter the division details.
- Once done, go to Reports and run the Recent Transactions report.
- Click Customize, then filter the Rows/Column by Date, Transaction Type, Name, Memo/Description, and Amount.
- Also, in the Filter drop-down, select the Payroll check in the Transaction Type drop-down.
- Click Run Report.

Hi, wow, that's very unhelpful. It results in all of our reports when dividing by Location to have a whole column of "Not Specified" for payroll transactions. Is this location tracking payroll transactions planned to be added soon?

You may record payroll data as Journal Entries to define Class and Location.

I have a new client who needs to track locations (4 stores). I use the Weekly timesheets function and entered the locations there, assuming it would carry through to the financial statements (by location). Now that I am running my first set of monthly financials I see that all payroll expenses are in the "not specified" column. I would have thought using timesheets would have allocated the wages and expenses. To me, this is a simple way to make Locations allocations work.

Has there been any updates for tracking staff? I have staff set up in Classes for different offices, but I need to use location to assign them to departments. I am using this information for budget purposes. Any suggestions are appreciated.

Let me help share information about tracking your stuff and assigning locations for payroll in QuickBooks Online, @VirginiaCarol.
As of the moment, there isn't an integrated way to utilize multiple locations for payroll transactions. And we're also unable to determine the exact turnaround time as to when will this feature be updated.
You're on the right track in setting up classes for each office you have but it's best to manually track the location for each department. While the option is not yet available, you can let our developers know about your request by sending feedback. Let me show you how.
- Go to the Gear icon.
- Select Feedback.
- Enter a few words describing why you wanted to assign multiple locations to a payroll transaction and how it helps in tracking your budget.
- Click Next.

Hi there Kavco,
What if you set up the Chart of Accounts and your Payroll items by your specific locations. This will give you control with data mapping. You could also setup Service items by location or labor category (ie person) using initials or abbreviations as categories.

I agree, it is very frustrating that Quickbooks Online doesn't have the location tracking feature for payroll transactions. It take so much time every month to book journal entries to fix it. COME ON QUICKBOOKS!!!

This is terrible that you don't have the ability to set the Location field for a particular employee's payroll. Do you not realize that payroll is one of the biggest expenses at a Location, and that without this feature, it's impossible to track the amount of payroll and payroll taxes incurred at a particular Location?
Please tell your product team and engineers to get this fixed RIGHT AWAY.

Agreed...this is a joke. We have employees who work in multiple locations, some of which are in Kentucky municipalities (and counties) which require withholding for local occupational tax...and some of which are in Ohio, which doesn't have occupational taxes per se, only municipal income taxes (some cities only). As far as I can tell, then, there's no way to track and pay with any accuracy an employee who works hours at more than one such location. Of course when I chatted with a QB 'expert,' she just parroted irrelevant cut-and-paste regarding state tax reciprocity (which, of course, I understand and which is completely irrelevant). Way to go, Intuit!

Just wait until you find out that you have to fake employee address to the working address for payroll taxes to be properly applied. Quit messing around with stupid user interface changes that suck and get on important things like location tracking for employee wage expenses AND state tax insurance!

I know this reply is a year old, but it still doesn't let you add a location for payroll.
In order to remove it from the non specified column on the P&L I made the following journal entry.
I just debited and credited the same account but with the debit being in the location I wanted the balance.

You can you just have to do it manually add it each check and payroll liability! I am wondering when it will be automated.... It is very time consuming when you have 8 locations to go through each person, it is HORRIBLE!

For the time being, automatically adding location on payroll checks and liabilities isn't yet an option in QuickBooks Online Payroll (QBOP), goose auto. I'll provide more details about this and encourage you to send feedback or product recommendations to help improve the features and your experience with the platform.
We understand the advantages of automating location tracking for payroll transactions, but this capability is currently unavailable, and we cannot specify when it will be implemented. - Go to the Gear icon.
