Employees and payroll
Hi there, @ESPC3. I'd be glad to help.
If you use QuickBooks Online (QBO) Payroll Core, Premium, or Elite, rest assured your state W-2s are automatically e-filed with your Federal W-2s. However, the copies you can view and print from the Payroll filings are Copies A and D for the employer and copies B, C, and 2 for the employees. You can follow these steps to view these copies:
- Select Taxes, then Payroll tax.
- Select Filings.
- Select Resources, then W-2s.
- Review the list of employees whose W-2 you want to view.
- Select View or Manage on the copy you need:
- Select View and print.
Feel free to check out this link to review other helpful resources in QBO Payroll: Self-help articles.
We'll be on the lookout for your reply if you have further details or concerns about generating Copy 1 of your W-2 for state filing. We're committed to offering ongoing support. Take care.

Hi. Copy 1 & Copy D, are the same form. you'll print this form twice- Once for Copy 1 & once for Copy D. Your W-2 Packet will have extra forms for the ones that cover 2 forms, so where you may only have 5 sheets in Copy A (the red form) you'll have 10 sheets on Copy 1/D to cover both. Hope this helps.
