I’m here to share some insights about tracking salaried employee time in QuickBooks Online (QBO), NonprofitSeeker.
I know how beneficial it is to your business to set up an automatic entry for a salaried employee on a project. However, this option is unavailable in QuickBooks Online (QBO). With this said, I'd recommend sending this request straight to our product engineers through feedback. Sharing features and options that you would like implemented is how our engineers look for new product updates. Here's how:
- Go to the Gear icon at the top.
- Select Feedback.
- Enter your comments or product suggestions.
- Then select Next to submit feedback.
In this case, we'll need to manually enter the hourly cost rate. For your salaried employee, we'll need to enter an hourly rate by dividing their annual wage (including employer taxes) by the number of weeks in a year. Then, divide by the average hours worked per week. Here's how:
- Go to Business overview and select Projects.
- Click Hourly cost rate. This opens the hourly cost rate window.
- Find the employee and tap Add. We can also edit an employee's rate, and select the pencil icon.
- Choose the calculator icon to open the hourly cost rate calculator.
- Add your employee's hourly wage and employer taxes. If your employee is hourly, QuickBooks fills in their hourly wage and employer taxes for you. If your employee is salaried, enter an hourly rate by dividing their annual wage (including employer taxes) by the number of weeks in a year. Then divide by the average hours worked per week.
- Enter any additional employer taxes, workers' comp, or overhead for even more accurate hourly costs.
- Tap Add to close the calculator.
- Tick Save to save the hourly cost rate for the employee.
- Repeat for each employee. Then press Done to close the hourly cost rates window.

You'll want to check for a third-party application that can help you with this one. You can check out the apps that are compatible with QuickBooks at this link: https://quickbooks.intuit.com/app/apps/home/. We can also do it in QBO by following the steps below:
- Go to Apps on the left side menu.
- Search for the app in the Find apps to streamline your work field.
- Look for an app that supports the Batch Invoicing feature.
