Can I get access to my data after cancelling my QuickBooks subscription?
Over the course of several years, I have meticulously uploaded data and photos into QuickBooks Online (QBO), operating under the belief that I would eventually undergo an audit. Presently, I have concluded my commercial activities and wish to inquire as to the fate of this data in the cloud. Specifically, I am interested in whether I can still access my proofs (receipts) in the event of an audit three years from now, given that it can only be reconnected within 12 months.
I have ascertained that the data can indeed be reconnected within 12 months, but I am uncertain as to whether this will still be possible after a longer period of time. As such, I would greatly appreciate any information or guidance on this matter.
Thanks
Paul

Hi paul116,
Thanks for your post in the Community!
We always recommend customers to export data prior to cancelling the subscription for back up purposes. Your data will be kept in a read-only access for 1-year from the cancellation date. After 12 months, you can still re-subscribe with the same credentials, but your data will no longer be available.
To export data and list:
- Click on the Settings ⚙ icon.
- Click on Export data.
- On the Reports tab, set the date range.
- Add or remove items from the Reports and Lists tabs by turning the switch on or off.
- Select Export to Excel.

It seems like I'm stuck in a difficult situation. I have two options: pay for the maintenance of data for audit purposes or hope for the best. The government requires us to keep data/proof for up to 5-7 years, while QuickBooks Online (QBO) deletes it after just 12 months.
I was wondering if there is any vendor that can help me with this conversion work? I had hoped QBO would have a solution for this.
I guess this situation reinforces my dislike for cloud services.
Thank you for your assistance.

Hi paul116,
I understand how important it is to be able to keep the data in QuickBooks Online based on the mandate by the government. It's at the moment QBO keeps your data for 12 months only to give storage to new accounts.
You can either export the data right away for back up or re-subscribe the account before it reaches the 12 month mark. Or use a third party application to help you download the data.
Post again in the Community if you have further concerns. Have a great rest of the day.

Is it possible to export the receipt photos from Quickbooks? I've only worked out how to export reports. I don;t currently have a subscription, it's about to lapse and I'm wondering I need to renew it, or if it's ok just having the reports and physical receipts.

Yes, it's possible, @a1b2.
We can download or batch export receipt photos from QuickBooks even if your subscription is cancelled or about to lapse. Here's how:
- Open your QuickBooks.
- Go to the Gear icon.
- Under Lists, choose Attachments.
- You can click the Download option under the Action column or tick the check box and click Batch Actions, then Export.
