Account management
Hi, Port. I'm here to explain why you'll need to ask for other users' permission when switching to multi-user mode in QuickBooks Desktop version 2024.
Please be aware that QuickBooks Desktop (QBDT) doesn't automatically switch from multi-user mode to single-user mode when another user logs in. When a user opens a company file in QBDT, it will be in single-user mode by default.
If others try to log in to the same company file while it is already open in single-user mode, they will receive a message stating that the file is already in use and cannot be accessed simultaneously.
Switching between modes is seamless when you do it because the data is being utilized from a host computer. Hosting refers to where the computer stores the company file or allows other computers to access the file.
For reference, you can visit this article: Host your company data in multi-user mode.
For you to access your file without needing permission, your host will need to enable the multi-user mode. Once this feature is enabled, all under the host can access the file with the proper permission assigned by the admin.
Moreover, if you want to make your computer the host, you can follow these steps on how to do so.
- Set up QuickBooks Desktop
- Set folder permissions
- Install Database Server manager
- Adjust firewall and security settings
- Set admin rights
- Use Database Server Manager
- Turn on hosting
For more detailed steps, please read this article: Install QuickBooks Desktop on a server.
Furthermore, if you want to customize roles in your company, you can read this article for guidance: Add and manage users in QuickBooks Online.
