I'm here to guide you with migrating your QuickBooks Desktop (QBDT) file to QuickBooks Online (QBO), shetty.
Beforehand, please take note of the following:
- We have 60 days from the time you create your QuickBooks Online account to move your data.
- If you've previously set up payroll in QBO, transfer your lists instead of your company file.
- Due to feature limitations, you won't be able to convert some of your lists and reports.
- Ensure your QuickBooks is up-to-date.
- Make sure your Total Target is less than 750,000, we can press Ctrl + 1 on your keyboard to check on this.
- If you use advanced features (such as advanced reporting and advanced inventory), we recommend starting fresh because some of your data won't move to QuickBooks Online.
To migrate from QBDT to QBO, we can:
- Sign in as an admin to the desktop company file you want to move.
- Press Ctrl + 1 to open the Product Information window.
- Select Ctrl + B + Q, then choose OK to display the export window.
- On the export window, hit Get started.
- Sign in as an admin to your QuickBooks Online company.
- Select Choose online company, then select the QuickBooks Online company you want to replace with your company file.
- Click Continue.
- If you track inventory in QuickBooks Desktop, hit Yes to bring them over, then specify the as of date.
- Enter “Agree” in the text field, then click Replace.
- Hit Yes, go ahead and replace the data, then select Replace.
Here's an article for more info: Move your QuickBooks Desktop file to QuickBooks Online.
Then, we compare our reports in QBO and QBDT to ensure everything matches and is organized accordingly. Also, we can look at the conversion guide if you notice any differences in the appearance of your books.
I'm still ready to provide any details about migrating from QBDT to QBO. Have a good one!

Hi, I am working with a new client who I just created a new QBO Simple start plan. Their previous accountant was using QB Desktop and has provided with me with a backup file on a thumb drive. Can I import this file into the new online account using the thumb drive file?

I'm glad to assist you in smoothly transitioning your client's data from QuickBooks Desktop to QuickBooks Online, @mwendel.
Certainly! You can import your client's file from the thumb drive into your new QuickBooks Online (QBO). Before doing so, you'll have to open the exported file from your thumb drive in QuickBooks Desktop (QBDT) to make sure it's formatted accordingly.
Afterward, proceed to migrate and import it into QBO. If you do not have access to the QBDT program, you can download and utilize the 2021 trial version to complete the process.
When you're ready to move a file from QBDT (Pro or Premier) to QBO, follow these steps:
- Sign in as an admin to the company file you need to import.
- Go to the Company menu, then select Export Company File to QuickBooks Online.
- Click Start your export.
- Sign in as an admin to your QBO company.
- Select the Choose online company drop-down, and select the QBO company you want to replace your company file.
- Click Continue.
- Enter Agree in the text field, then select Replace.
- Select Yes, go ahead and replace the data, then click Replace.

Doesn't answer for QB Enterprise. The menu option under Company is not available on 21 (still supported) to export to QB Online even after updating the file to the latest release and restarting QB Enterprise.

Open your company file and hit CTRL 1 keys. How big is your Total Target? Up to 250K, between 250K-750K, or > 750K ?

I'm not 100% sure - I have a new client that will be migrating from Enterprise to Online and I just wanted to make sure I get the right version for him to convert to. Is there a scale that needs to be used?

Ask your client about the Total Target first. If the size is between 250K-750K, you will need to set up a QBO Advanced account and downgrade the plan after the conversion is complete if necessary. Otherwise, they should run the Condense Data utility to reduce the size before converting it to QBO and use the trial version to access their historical data for good.

For anyone that is still looking for updates to this issue:
- Select Ctrl + B + Q, then choose OK to display the export window.
That OK is actually to get out of the Product Information window. The export window doesn't show up and then you press ok. It's press OK first, then the export window shows up. Or in my case, because I didn't know that, multiple instances of the export window will show up.
