Add PO number to email subject line

I am looking for a way to include the PO# on the subject line after Invoice# when I am  sending invoices so that it would be easier on my customers end to search on email.

Add PO number to email subject line

Adding a purchase order number to an email subject line is a great functionality, NCRIEGEL.

As of now, this option is unavailable in QuickBooks Online. As a workaround, I suggest manually typing the number in the Subject field.

Beforehand, let's customise the invoice template to personalise the subject field. Here's how:

  1. Go to the Gear icon and then select Custom form styles.
  2. Select the invoice template used in the email.
  3. Click Edit.
  4. Choose the Emails tab.
  5. On the Subject field, you can type in Purchase order number or other name.
  6. After that, click Done.

For more details, please see this article: Customise Invoices, Quotes, and Sales Receipts.

Once done, we can add the number:

  1. Locate and open the invoice.
  2. Make sure the correct template is used in the transaction.
  3. Select Save and send.
  4. Under Subject, type in the PO number.
  5. Once done, click Send and close

If you want to add the number to your invoices, you can use the Custom fields feature.

I can see how this functionality would be beneficial to your business. I encourage sending feedback directly to our Product Development team. Doing so helps us improve the features of the program.

Once your customer pays you, you can track the payment to QuickBooks Online to ensure your books match your real-life transactions.
