Why does the square integration interact so poorly with a sync'd bank account?

I have connected my square account to my Quickbooks account since my business uses square for processing transactions. Why in the world does Adding a transaction from the app transactions page and then matching with the bank transactions tool work differently than adding the transaction from the bank transactions and then matching from the square app transactions?

 

Doing it the wrong way completely screws up the journal entry for my bank account.

 

Also, why does the connect to square app not have any method for syncing product and customer names? The documentation for doing it manually isn't very helpful either. I am quite disappointed in the experience I am having with Square/QBO integration.

Bank transactions in QBO specifically refer to funds moving in and out of your financial accounts. They are automatically pulled from financial institutions and require approval or categorization.

On the other hand,
App Transactions (like Square) in QBO are manually inputted or come from integrated applications, reflecting operational activities such as sales or expenses that might not yet be mirrored in your bank transactions. 

 

Connecting your Square account to QuickBooks Online brings your sales transactions automatically.

 

Additionally, you need to add your bank for Square in QuickBooks, download your bank transactions, and then match them to your Square app transactions.

 

Lastly, connecting to Square only matches exact customer names unless you manually assign a customer to an imported transaction. This setting applies to future transactions for both customers and products/services.

Connect to Square app is a free app and it is not reliable. Consider having a paid connector app instead.

They shouldn't offer it if it isn't reliable. Right now, I have had it destroy my books with multiple hour recoveries at least twice.

I understand the distinction. That distinction is not my problem.

 

The problem is that it is so easy to mess up. Click the wrong accept button first or the wrong match button and all hell breaks loose leading to broken line items in journal entries that to hard to find and undo.

 

I clicked a few match buttons on the square app the other day and literally had to spend ten hours deleting the bogus lines from hundreds of journal entries.

 

The Connect to Square app doesn't act like a production app. It's more like an intern's side project proof of concept.

Check item mapping taxes and time zone first since those cause most Square issues. When I need cleaner totals I pull Square payouts and orders through Skyvia and post summarized entries into QBO so deposits and fees tie out. You can find it here.

Tell me about it. We opened our business in 2022 while they were using one app to connect Square and QB then that summer they switched to another now in 2025 (as of Dec) they are apparently going back to the old one again. My transactions from Square have not been coming in since Nov 2025. It just says “we are updating Square connector we’ll let you know when it’s done” Of course speaking to QB and Square support offered (again) no help at all. Whoever created the integration app has a very special place in hell. My first year of business I had dozens of thousands of duplicate transactions and I had to pay an accountant a couple thousand dollars to fix it. Both companies just blame each other back and forth. This last time they switched (forcibly) I knew it would be a nightmare again. It was. My accountant called me 2 days ago saying Nov 2025 is a mess. The Square connector won’t even load on my end. Had I known it would be such a headache (so many issues, things not loading correctly, names not appearing, I mean a TON of issues) I would have never ever chosen QB or Square. The good thing is it’s Dec and if I need to switch programs for 2026 I may just do so and start fresh. If I could rate the integration between the 2 a zero, I would. It is the worst and least intuitive system/app combo I have ever used and I wish these problems on nobody. No matter which app you use (whether QB makes it or a third party) it is a nightmare just waiting to happen! I literally have to work 2,3 or more times to just get my store’s daily stuff done.
