How can I tally and link reciepts when ive paid in cash?

It's good to have you back here in the Community forum, Bruce.

When a receipt is uploaded to QuickBooks and its status is Unlinked, it will not automatically appear in your Profit and Loss (P&L) report. Please note that only Bank transactions and those linked status receipts will be reflected in your P&L. With this, you'll have to link it to an existing transaction in the bank feed.

On a related note, QuickBooks Sole Trader doesn't have the option to record a receipt as paid in cash. However, here are two alternatives for recording such expenses in QuickBooks.

First, you will need to manually record the receipt in the Bank Transactions section. Before proceeding, please ensure that you delete the uploaded receipt from the Receipts page.

Here's how you can manually record the receipt:

  1. Log in to your QuickBooks Sole Trader account.
  2. Navigate to the Bank Transactions menu and select New transaction.
  3. Fill out the necessary details.
  4. In the note box, you can indicate that the transaction was paid in cash for your records.
  5. Once done, click Save to record the transaction.

The second option is to link the receipt to a transaction. Once the receipt transaction is uploaded to your Bank transactions page, edit it and use the note box to indicate that the transaction was paid in cash for your records. Then, link it to the receipt.

Afterwards, it will be reflected in the P&L as an Expense. Please see the sample screenshot for reference:
