Let me provide information about the Condense feature in QuickBooks Desktop (QBDT).

 

The Condense Data utility in QuickBooks Desktop allows you to reduce the size of your company file by removing transactions outside of a selected date range, helping to streamline your company data file and improve it's performance. However, it does not specifically allow you to delete old customers to get below the 4,500 customer limit.

 

Furthermore, if you have reached the maximum limit of 4,500 customer when generating a customer statement, you can delete the customer with no associated transactions or those marked as inactive. Before proceeding, make sure to create a  backup copy to prevent any data loss. Here's how:

 

  1. Open your QuickBooks Desktop company file.
  2. Go to the Customers menu, then select Customer Center.
  3. Find the customer you want to delete, Then, right-click and select Delete Customer: Job.
  4. Click OK to confirm.
