Limited Access to Memorized Reports

Hello - I have a need to share certain memorized reports with my production team without sharing the entire reports portal.  I don't see how to set up the user access in this way.  Is there a work around?  We need them to see some reports without accessing P&L's and other financial data.  Thanks in advance.

Thanks for reaching out, Jloomy. I appreciate you taking the time to explore options for sharing memorized reports. Currently, QuickBooks Desktop doesn’t have an option to set custom user roles specifically for access to memorized reports.

 

As a workaround, you can export the specific reports you want to share and manually send them to your team. This ensures they only see the reports you choose without having access to the entire reports portal. Follow these steps:

 

  1. Go to the Reports tab.
  2. Select Memorized Reports, then click Memorized Report List.
  3. A window will appear showing your memorized reports. Locate the report you want to share and click Export.

Limited Access to Memorized Reports

Users are only be able to run memorized reports that are based on the canned reports they have access to.

 

They'll be able see all of the reports listed on the memorized reports window, see that they exist, but can only actually run the ones they have rights to.
