enter negative hours?

I accidentally paid someone 5 hours of vacation last week, but I should have paid him 5 hours of bereavement,

Can I enter a negative 5 hrs vacation on his next week check?

Thanks
Laura

enter negative hours?

Good morning, @LDO.

How are you doing today? I hope all is well.

In the past, we've had users with similar issues adjust the vacation hours (this corrects the available hours, not the paycheck), then on the next check add the bereavement hours.

To do this:

1. Go to Payroll › Employees.

2. Select the employee.

3. Under Time off policies, find Vacation.

4. Click Edit balance (or Adjust balance).

5. Enter –5 hours in the adjustment field (this corrects the available hours, not the paycheck).

6. Save.

Then, on the next paycheck:

1. Don’t add or subtract any vacation hours.

2. Just add 5 hours of Bereavement pay so they’re properly compensated.

This corrects the balances without entering a negative value on a paycheck.

Please know you should always consult with your accounting professional before making any changes to your account. Your accountant can advise the best course of action based on your business needs.

That should do the trick. Don't hesitate to let me know if you have any additional questions or concerns. Take care!

3.  I find vacation but the only option i can click is "edit"

4.  I see no edit balance or adjust balance.

Thanks

You're absolutely on the right track, LDO. We will work through this together to ensure it gets resolved.

When you click Edit, this action should seamlessly direct you to the Manage time off policies section, where you can make adjustments to the balance as needed. I'm sharing a screenshot for your visual reference:

Feel free to leave any additional questions in the comments, and we'll be happy to help.

enter negative hours?

I have changed the balance on vacation many times and it has never effected the net dollar amount of a previous check????

reminder: I need to reduce the hours of the vacation paid and increase the bereavement hours.

If i change the balance of the vacation hours that will make the hours correct.   But how does this reduce his pay for last week?  and will he not be getting paid  more money next week when I add in bereavement hours?

Thanks

Allow me to join the discussion and clarify the process of correcting the vacation and bereavement balances, as well as addressing adjustments to the employee's paycheck, LDO.

When making adjustments to the vacation or bereavement balances on the Manage time off policies page, the employee's paycheck will not be affected.

If you want to update the vacation and bereavement balances, adjusting them directly without altering the employee's paycheck is the correct approach, provided the adjustment doesn't affect the payment amount. However, if the adjustment does affect the payment or if you need to reflect bereavement leave on the paycheck, you may need to delete and recreate it, ensuring the leave, such as 5 hours, is accurately reflected.

However, if the employee is paid via direct deposit, I recommend reaching out to our Live Support Team. They have the necessary tools to securely access your account and assist you with making adjustments to the paycheck.

Here’s how you can contact them:

  1. Click the Help button in the top-right corner of your QuickBooks Online account.
  2. Select the Assistant tab and type Talk to an expert to get support options.
  3. Choose your preferred method — either Chat or Callback.
