How to merge customer transaction into QuickBooks from point of sale total.

Hello, @afmechservices-g. Thanks for reaching out with your question about merging customer transactions from your point-of-sale (POS) system into QuickBooks. I completely understand how managing a daily total alongside individual transactions can feel a bit tricky.

Before we dive into the details, could you please clarify whether the total amount from your POS is already downloaded into your banking feed? If so, you can match the downloaded transaction with the corresponding payment you’ve already entered. This will link them together and prevent any duplicates from slipping through.

Here’s how to do it:

  1. Navigate to Transactions, then choose Bank transactions.
  2. Look for a downloaded record and check for "matches found" in the Category or Match column.
  3. Select the downloaded record to expand the details. Take note of the date, description (or bank detail), and amount spent or received.
  4. Review the Suggested matches for any possible matching transactions already entered in QuickBooks.
  5. Click the link next to each match to get more info. Suggested matches will be the same amount as and from a similar date range as the downloaded transaction. Ensure each match is correct.
  6. Choose a match if it's correct, then hit Match.

This process lets QuickBooks know that the downloaded record is the same as the one you’ve entered, effectively linking them to avoid any duplicates.
