How do I set up in QuickBooks Payroll to be notified when an employee submit their timesheet?

To be notified when your employee submits their timesheet would be a great help in making sure you will approve and edit time entries promptly, Millie.

Currently, the option to be notified if someone submits their timesheet is unavailable in QuickBooks Online (QBO) and Time. You can, however, select Send me a daily reminder email for pending timesheets and pick specific days and times. This is located from the Manage Employees section, then Notifications.

While in QB Time, you can place a check mark in the Email administrators when team members add or edit timesheet notes option, and advise your employees to place notes whenever they submit time to make sure you will be notified.

Another way around is to let your employees contact or notify you by phone or email that their timesheet is submitted, and manually check it in QuickBooks.

In the meantime, you can send direct feedback to our Product Development Team to have this option in the Notification section, since it will help you keep updated on the time submitted and avoid discrepancies when running payroll. If they can see that this will improve users' experience when approving entries, they can add this to our future software updates. Here's how:

  1. Go to the Gear icon.
  2. Choose Feedback below the Profile column.
