Year End FAQs: Filing & Paying Taxes

Just when you think we have covered it all, we’re back with another article to help you with year end! If there’s one thing we know, it’s that Year End is the start of tax season. What I have today are some resources to help you with filing and paying those taxes on time (and hopefully with no headache).

Let's start with what forms Intuit files on your behalf. With full-service versions of QuickBooks Online Payroll, QuickBooks Desktop Payroll, and Intuit Online Payroll we send your payroll taxes and forms automatically to make sure they're submitted on time. If you don’t have full-service payroll, it's your responsibility to file manually. 

Here are the forms we file for you:

Federal

  • Form 940 - Annual Federal Unemployment Tax Return (FUTA)
  • Form 941 - Quarterly Withholding Federal Tax Return
  • Forms W-2 and W-3 - Employee Wage and Tax Statement
  • Forms 1099-MISC and Form 1096 - Non-employee Compensation Return (Intuit Online Payroll Full Service Only)

State

  • QuickBooks Online Payroll Core: All state's withholding and unemployment taxes and forms. New hire reporting and local taxes aren't supported.
  • QuickBooks Online Payroll Premium, Elite: All state's withholding and unemployment taxes and forms, new hire reporting and local taxes.
  • Intuit Online Payroll Full Service: All state's withholding and unemployment taxes and forms, new hire reporting and local taxes.
  • QuickBooks Desktop Payroll Assisted: All state's withholding and unemployment taxes and forms, except Indiana and Wyoming. New hire reporting and local taxes aren't supported.

If your tax forms aren't available yet, you can view them about 35 days after the end of the quarter. All copies of your quarterly and annual payroll tax forms filed by Intuit are available in the Payroll Tax Center (PTC).

I know getting a tax notice from the IRS can be scary, but don’t worry, we have your back. Once you find your Tax Form Code from the notice, we can help you determine what your next steps are.

Your next step is to determine who you need to get in touch with. If the tax notice is related to services Intuit provides for you (IRS forms 941/944, 940, W-2, state unemployment insurance, state withholding tax, and local withholding taxes where applicable) you can reach out to us for help. 

You don’t even need to pick up a phone. Follow the steps below to get that notice into the right hands:

  1. Hand write your Federal Employer Identification Number (EIN) on the first page of the tax notice you received.
  2. Email a picture, PDF or scan of each federal or state notice to taxnoticeresolution@intuit.com.
    • Note: the notice must be included as an attachment to your email.  Acceptable formats include .pdf, .jpeg, .doc or .docx, .xls or .xlsx, .tiff.
  3. If you have more than one notice of discrepancy, please send each one in a separate email.

Once we receive your email, it’s routed to our research queue.  You’ll receive an email to confirm receipt and to let you know how long it'll take us to research the notice. When complete, a tax specialist will email you confirming the required resolution, any steps we have taken on your behalf, and additional action required (if necessary).

Friendly reminder: There’s no harm in double-checking your tax form if something seems off. Payroll tax forms are generated from paycheck info dated in that quarter. You can review your paychecks to see if there are any errors and also use the reports inside QuickBooks Online to help you:

  1. Go to Reports, then scroll down to Payroll.
  2. Select a payroll report like the Payroll Summary or Payroll Details.
  3. Change the date range to reflect the quarter you are creating forms for. 
  4. Review the reports to determine if there are any paycheck errors.

We've covered a lot so far, but I have one more thing to explain. Once you’re done filing, you’ll want to archive old forms. This looks different depending on if we file for you or you file for yourself. First, let's go over how to archive those tax forms:

Note: If you have automatic tax payments and filings turned on, no action is needed. Forms filed by Intuit are auto-archived.

If you have automatic tax payments and filings turned off

  1. Select Taxes, then Payroll Tax.
  2. Select Quarterly Forms or Annual Forms.
  3. Choose the form you need.
  4. Select the liability period.
  5. Select Archive.

Whenever you need to view these forms

  1. Go to Taxes, then Payroll Tax.
  2. Select Filings.
  3. Scroll down to the Filing Resources section and select Archived forms and filings.
  4. Choose the form you want to view.
  5. Click View.
