Let’s take a look at his top 3 tips when it comes to getting started with QuickBooks Desktop.
Tip 1: Check the specs and store the file in a good location.
Before jumping straight to downloading your product, you’ll first want to take a look at the system requirements recommended for the version of QuickBooks you are intending to use. This can help avoid a lot of mishaps when it comes to installing, latency, data damage, and more.

Once you have ensured your computer is prepared to support QuickBooks Desktop, make sure you place your file in a safe location on your computer. We recommend somewhere on your C:Drive. If you intend to share your file out so others can use it, familiarize yourself with the different Hosting Types. From there we have a guide on setting up Multi-User Mode so you can share your file(s) to peers without troubles.
If you have these initial things checked, then you are already ahead of the game!
Tip 2: Make sure you have your users and permissions sorted out and assigned.
In QuickBooks Desktop you will have 3 potential locations to manage your users within a file. Knowing the difference between the user types and locations to manage them is key to success.
- First you have your base company file users who can be set up to access the company file with the various permissions you would establish as the Admin user. Check out these resources on user permissions depending on the version you have
- Second are the users you would like to have access to your Customer Account (CAMPS.Intuit.com). This would be beneficial for people who may reach out to us for support so they can verify themselves, granting the ability to login and download products. More can be found in this link below:
- Third are the users that only come into play if you use online/connected services like payroll, payments, receipt management, or QBTime. If you are needing to manage the access a user may have to these services, it can be managed in two different locations as long as you are signed in as the Primary Admin. Tip 3: Take your time and go through the Company Preferences in your file.
When it comes to your Company preferences, there will be various settings to go over and test out, so it’s important to take your time and sort through these.
My best piece of advice to you is to be careful when it comes to turning on certain preferences. Some of the preferences cannot be turned off once turned on, so my suggestion for you is to open a test company first so you can test run any of those preferences before turning them on. You will have access to toggling options for the different types of transactions you plan to use, inventory tracking, and more!
You can navigate to your company settings by going to the Edit tab in the top tool bar, clicking on Preferences, and then selecting General. You are now good to start browsing!
