Hi Community! Today our expert Mike Santos is sharing his top 3 tips on how you can migrate from QuickBooks Desktop to QuickBooks Online. 1: Take a look at the “Compare QuickBooks Online to Desktop” chart to make sure QuickBooks Online is the right fit for your business.
The first step is deciding whether or not QuickBooks Online is right for you! The page linked above is a great way to easily compare both products and what they have to offer. If you decide switching to Online is the right choice for your business, then let’s move on to step 2!
2: Review the Learn how features and data move from QuickBooks Desktop to QuickBooks Online article to understand how your data will move to Online. This will help you plan the time you'll need to move your data and finish setting up your company in QuickBooks Online.
Your books may look different after switching, so it’s important to understand all the ways your data will move into Online from Desktop beforehand so there aren’t any surprises. Click on each of the dropdown arrows in the article linked above to see all the details.
Since not everything moves over to QuickBooks Online the same way you see it in Desktop due to some different terminology, you’ll want to double-check via the lists to make sure it’s the right move for your business. Plus this will help you get a good idea of what information you’ll need to update after the move.

Before you get too excited and move your data over, definitely check out the step 1 dropdown in the article above! There are pre-requirements to moving your data over and you want to make sure your QuickBooks is up-to-date and you need to ensure your file is not too large to be exported. Then, you’ll want to print a copy of your Sales Liability report to make adjustment entries after the move. Finally, if you use QuickBooks Desktop Payroll you’ll need to terminate/deactivate any employees that are no longer working for you and haven’t been paid in the current year. And make sure to wait at least 2-3 days after you’ve run payroll to move your data over to Online. This will ensure all your paycheck info transfers over with ease!
